Manifest Creative is hiring for the following position(s).
DUTIES AND RESPONSIBILITIES
Provide accounting (including AR / AP) and administrative services to Manifest Creative and its clients. Duties include, but are not limited to:
Accounting Duties (70%):
- Facilitate timely receipt of revenue by verifying transaction information, accurately computing charges, preparing and sending invoices, and following up to collect delinquent payments as necessary
- Receive, record and appropriately deposit cash, checks, and vouchers
- Pay invoices by verifying the accuracy of transaction information and preparing disbursements, obtaining authorization of payment as required and sending payment
- Ensure bills are paid in a timely and accurate manner while adhering to various internal procedures for clients.
- Resolve accounting discrepancies by investigating documentation, issuing stop payments and making adjustments as necessary
- Reconcile records of bank transactions; note and report any remaining discrepancies found in records
- Check figures, postings and documents for correct entry, mathematical accuracy and proper codes.
- Code documents according to company and client procedures
- Classify, record and summarize numerical and financial data to compile and keep financial records, using journals and ledgers and/or accounting software
- Track and document clients’ income and expenses
- Provide support to the team on financial tasks, such as deposits, printing checks, pulling reports, reconciliations, membership invoices, tracking, follow-ups, maintaining budgets, etc. Including tracking budget success for each client?
- Prepare requested financial reports by collecting, analyzing and summarizing account and bank information and trends.
- Provide support to the Account Management Team in gathering documents and materials required by CPA inpreparing client’s 990 report and coordinate with the CPA
- Maintain financial security by following internal accounting controls.
- Secure financial information by completing database updates and backups
- Maintain financial historical records by filing accounting documents
- Contribute to team effort by accomplishing related results as needed
- Follow established financial policies and procedures; assist in the development of new policies and procedures as needed
- Assist with and/or manage annual insurance renewals, audits, forms, etc.
Administrative Duties (30%):
- Answer phones, return messages for all clients and Manifest Creative
- Monitor and manage client e-mail inboxes, reply to incoming e-mails; keep Account Management Team apprised of priorities and key actions/outcomes; compiling and maintaining list of FAQs and standardized responses, and drawing from as needed
- Organize and manage database(s) and contact lists for Manifest Creative and clients; provide support in database management and maintenance
- Manage and maintain client data, run reports (current and historical) as requested
- Create Basecamp to-do lists for various client projects, track and manage lists, checking off when tasks are complete
- Maintain Manifest Creative and client files and records—electronic and paper; improve and maintain efficiencies, including trips to HQ and storage unit to file documents or retrieve items
- Maintain and manage client storage units, in collaboration with account team
- Interface with vendors and suppliers for office and client services
- Run errands, pick up mail at post office box and/or clients’ office
- Serve as purchasing agent for supplies as needed, including office equipment, stationery, badges, awards, supplies, etc. for Manifest Creative and clients
- Provide support with preparation and distribution of mail outs, as needed
- Provide support with onboarding (and off boarding) new clients, board members, committee members, and staff, asit relates to financials and administrative services
- Provide Executive Assistant support as needed, including maintaining calendars, scheduling meetings and events, making travel arrangements, compiling and processing expense reports, etc.
- Provide support to Account Management Team on other account tasks and actions as requested / needed
- Provide meeting/event on-site support at client events and meetings, as needed
- Other duties as assigned
LOCATION
Hybrid position, with at least 2-3 days per week in the Sugar Land office and the remaining time can be conducted remotely/from home.
SKILLS, KNOWLEDGE AND EXPERIENCE
- Minimum of 3 – 5 years of AP/AR experience required; must include experience with both QuickBooks Desktop and QuickBooks Online (super-user skill level is preferred; ideal candidate will be able to work with Classes, track grant-eligible expenses though Customer Center, create hacks for functions not included in QB software such as tracking tribute and matching gifts, track fund balances, create custom reports for grant reporting and other specific nonprofit needs.) (Please note - a QuickBooks test will be administered to final candidates)
- Experience with 501(c)(3), 501(c)(6) organizations, and FASB accounting standards
- Experience creating accounting schedules in MS Excel to meet FASB standards regarding annual roll-over value of liabilities (i.e. salaries, memberships, etc.) and receivables (i.e. fund balances, grant balances, etc.)
- Experience as an office manager, administrative and/or executive assistant preferred
- Ability to merge documents and data from various sources.
- High school diploma required; bachelors degree preferred

- Advanced skills in QuickBooks accounting software (QB Desktop AND QB Online)
- PowerPoint and creation of slide-show materials
- Outlook: email, calendar functions
- Google products, such as G-Mail, Google Docs, G-Suite, Google Drive
- Other Microsoft applications, such as OneDrive, OneNote, Azure etc.
- Familiarity and experience with Zoom, other virtual event/meeting platforms, DropBox (file sharing / storage), Basecamp (project management), Your Membership, GrowthZone, and database management software a plus
- Ability to create and maintain records/file systems in an organized fashion that allows easy access and retrieval
- Knowledge and competency in multiple office applications, including but not limited to:
- Extremely organized, detail-oriented and precise; ability to demonstrate the use of these skills in previous positions
- Exceptional listening skills; can follow verbal directions with minimal support and deliver accurate product / outcome
- Flexible and adaptable to continuously changing circumstances
